On behalf of our client, we are recruiting for the position of People & Culture Specialist (M/K).
Office location: Warsaw City Center

Responsibilities:

P&C Administration & Employee documentation
  • Ensure new hire documentation is completed, processed and stored correctly
  • Prepare, update and maintain employment documentation related to hiring, promotions, changes of employment terms, and termination (contract, amendments, notices)
  • Manage onboarding and offboarding process, ensuring all administrative steps are completed
  • Support induction programs for new joiners and gather feedback
  • Ensure exit procedures are completed, including leaver documentation and exit interviews
  • Administer compensation & benefit programs
  • Act as key user for SuccessFactors, ensuring data accuracy and timely updates (new hires, employment changes, terminations)
Payroll Coordination (External Payroll Provider)
  • Coordinate the payroll process in close cooperation with an external payroll provider (180 employees in Poland)
  • Prepare, validate and submit payroll input data, including contract changes, absences, bonuses, allowances and benefits
  • Review payroll outputs and support resolution of payroll discrepancies in cooperation with payroll provider and Finance
  • Ensure payroll deadlines and statutory reporting requirements are met
  • Acts as the primary point of contact for payroll-related questions from employees and internal stakeholders
  • Be responsible for the set-up, coordination and ongoing administration of shadow payroll for posted employees
Posted Workers & International Assignment
  • Prepare, maintain and process documentation for posted employees
  • Provide administrative assistance with international assignment coordination i.e. social insurance, withholding tax, work authorisation, posting registration and other issues if they occur for posted employees
  • Keeping a work time records and ensure compliance with local work regulations in host countries
  • Monitoring equal pay obligations related to the posted employees
  • Act as the first point of contact for posted employees regarding foreign tax related matters, in cooperation with Global Mobility team and external tax advisors where applicable
  • Coordinate the exchange of information between employees, payroll providers, tax advisors and internal stakeholders
  • Support employees in understanding tax obligations related to international assignment in cooperation with Global Mobility team, and external tax advisors
Compliance & Policies
  • Stay up-to-date and comply with changes in labour legislation
  • Explain P&C policies, procedures, laws and standards to employees and managers
Requirements:

Career/ Job experience
  • Generalist experience in Human Resources (essential)
  • Proven experience working with an external payroll provider
  • Solid understanding of labor legislation and payroll process (essential), exposure to international payroll/taxation is an advantage
  • Experience of HR systems, collating data, formatting reports (essential)
  • Experience working independently
  • Experience supporting posted workers/international assignments, including payroll and tax coordination.
  • Experience working in an international environment is a benefit
Education and qualification
  • Fluent in Polish and English
  • Relevant degree qualification in Business Administration, Human Resources, Psychology or similar
Personal profile
  • High attention to details and ability to handle confidential information
  • Strong interpersonal and communication skills
  • Proactive personality who is willing to take ownership
  • Solution driven mindset and ambition for continuous improvement
  • Flexibility in changing situations
Offer:
  • Employment contract for a replacement period with the possibility of further cooperation – minimum 3 months
  • Salary rate between PLN 12,000 – 14,000 gross – depending on experience
  • Benefit package – possibility of adding a sports card, medical card and life insurance
