Your Role and Responsibilities:

  • Coordination of processes related to onboarding and offboarding, contract extensions, administrative formalities, and equipment return control;

  • Active participation in client onboarding activities, including occasional travel to clients’ offices to ensure smooth process execution, relationship building, and professional representation of the company;

  • Maintaining positive, ongoing relationships with clients and consultants, ensuring high-quality cooperation and proactive support in daily matters;

  • Ongoing handling of inquiries and reminders, including those regarding timesheet completion, trainings, or invoices;

  • Verification of accuracy and completeness of data in Seargin’s internal systems, drawing conclusions and taking appropriate actions;

  • Making corrections and updating documents in line with given guidelines;

  • Processing and verification of requests, including those related to business trips, on-call duties, and purchases;

  • Preparation and supervision of documents, including SOWs, contracts, and other required materials;

  • Communication with consultants and handling day-to-day support tasks for the center;

  • Management of the list of services and projects;

  • Preparation of summaries, presentations, and support for the Head of CoE;

  • Analysis of reports and providing insights;

  • Organization of business trips for the Head of CoE and CoE consultants.

Skills and Personal Attributes:

  • Fluent command of English (minimum C1 level), both written and spoken, enabling effective communication in an international environment;

  • Minimum 1 year of experience in an operational role, or in positions related to consultant care, recruitment;

  • Strong organizational and multitasking skills, including the ability to prioritize tasks effectively and manage time in a fast-paced, dynamic environment;

  • Excellent interpersonal and communication abilities, with a focus on building long-term business relationships, openness, and a proactive approach to daily challenges;

  • Advanced Excel proficiency (including data analysis, complex functions, pivot tables, and reporting) – a critical requirement for this role;

  • Proficiency in MS Office tools and good working knowledge of reporting tools;

  • Accuracy and attention to detail, combined with a problem-solving mindset and ownership attitude;

  • Ability to work both independently and collaboratively within cross-functional teams;

  • Experience in working with internal databases, CRM or ERP systems will be an asset;

  • A positive, can-do attitude and readiness to support continuous improvement of internal processes;

  • Willingness to travel occasionally to client offices as part of relationship management and onboarding support.
